Check online banking first for a direct Quicken export covering the required account and period. If it is not available, use the statement.
For a short statement, type the date, memo, and amount into the destination. Reconcile the result to the closing balance.
Open the PDF statement, review the extracted transactions, choose Quicken, and save the converted file on your computer.
Choose the posted transaction date, supply a missing year from the statement period, and check statements that cross January.
Remove currency symbols from numeric cells, preserve the decimal separator, and verify debit and credit signs against the running balance.
Keep the payee or customer reference that helps identify the transaction, while avoiding repeated headers and unrelated reference numbers.
The following details were checked against four U.S. Bank documents from 2017 to 2024: a Silver Business Checking statement (2017, ten pages, text), two scanned pages of a Gold Business Checking statement (2024), and a Perks+ Visa Signature credit card statement (2020). The business checking layout did not change between 2017 and 2024: the same sections, the same three-line card rows, the same barcode in the corner. The credit card is a different layout with its own date order and sign marker.
Dec and 1, with no year, and the period in the header as "Statement Period: Dec 1, 2017 through Dec 31, 2017", split over three lines. Card purchase rows carry the purchase date inside the description, On 120217. The credit card statement prints MM/DD, 12/23, in two columns, "Post Date" first and "Trans Date" second, with the year only in "Open Date: 12/19/2019 Closing Date: 01/17/2020".1,450.00-, and deposits are unsigned; a dollar sign is printed as a separate cell on the first row of each section and on the totals. The credit card prints a dollar sign on every amount and marks credits with CR glued to the number, $109.41CR.1 993 7218 4406, with dashes in the section heading, Account Number 1-993-7218-4406, and as the target of transfers without either, From Account 199372184406. The credit card prints the full card number with spaces, 4037 8400 6210 5137, on page one.Every page of both layouts carries a two-dimensional barcode, and in the PDF it is not an image: it is text, twelve lines of twenty-two binary digits, 1010101010101010101010, two cells per line, at the top of the page. The mail sort line under it, FATATTTTDDTFDDFFFDADADTFF..., and a routing line, 000020713 02 SP 106481377418206 E, are text too. A converter that reads every line as content gets a block of twenty-digit numbers on every page, and one that looks for the longest digit string to find the account number finds the barcode.
A card purchase takes three lines. The first reads Dec 4 Debit Purchase - VISA On 120217 adbl.co/bill NJ 6100563471 14.95-: the posting date, the transaction type, the purchase date and the merchant's city and state, the reference number and the amount. The second line reads Audible REF # 24692167336100563471806: the merchant name at last, and a 23-digit reference. The third line reads ************3917, the masked card. A converter that keeps the first line gives every purchase the payee Debit Purchase - VISA On 120217 adbl.co/bill NJ, and one that joins all three lines gets the merchant buried after forty characters of type, date, location and reference. The payee is the first cell of the second line, and the purchase date on the first line can be in the previous month, On 113017 on a row posted Dec 1.
Every withdrawal ends with a minus after the number, 1,450.00-, 14.95-, 22,318.59-, in the transaction rows, in the subtotals, Total Card Withdrawals $ 10,084.96-, and in the account summary, Card Withdrawals 69 10,084.96 - with a space before the sign. Deposits have no sign. The dollar sign is a separate cell, printed only on the first row of a section and on totals, so the amount column has $ in some rows and not in others. A converter that reads 1,450.00- as text, or that expects the sign in front, imports every withdrawal as a deposit; one that treats the $ cell as part of the amount reads $ 11,800.00 on the first row and 24,300.00 on the second and puts them in different columns.
The checking statement lists Customer Deposits in a table of Number Date Ref Number Amount in two groups side by side, then Other Deposits with a description, then Card Withdrawals grouped by card number with a subtotal per card, then Other Withdrawals. Electronic rows take two lines, Electronic Withdrawal From GUSTO 36.45- and REF=173410013241630N00 9138864001TAX 1944152semjmplubr, with the ACH company name on the first line and the trace and addenda on the second. A wire reads Wire Debit REF002884 WELLS SF 171222029871 with BNF= and the beneficiary's address on the second line. A converter that reads the two-group deposit table line by line gets two deposits per line, and one that reads the whole page as one list gets the subtotal per card as a withdrawal.
The Balance Summary prints three groups of Date Ending Balance per line, one per business day, with a note "Balances only appear for days reflecting change". The ANALYSIS SERVICE CHARGE DETAIL that follows lists four account numbers with a charge each, 1-993-7218-4406 $ 0.00, 1-993-7743-0612 $ 5.00, and a Service Activity Detail per account with volumes and unit prices on the next page; the charge is booked as one row, Analysis Service Charge 86.00-, in the withdrawals. A page of check images follows with a caption 0000 Dec 12 3,507.50 under the image, and the last page says "This page intentionally left blank". The ten-page file is numbered "Page 1 of 8" because the reconciliation worksheet and disclosures on page two carry no page number. A converter that reads any dated line with an amount takes three balances per line, four analysis charges and a check caption as transactions.
The 2024 Gold Business Checking pages are a scan. The layout is the same as 2017, but OCR reads 121,519.81 as 121 and ,519.81 in two cells, reads the trailing minus as an underscore, 467,714.29_, breaks a reference line into REF=2433 and 80126612907NOO with the letter O for zero, and puts the description cells of a row before the date in extraction order. The amounts have to be rejoined by position before they are read, and the running balance in the summary is the check.
The Visa statement puts transactions at the bottom of page three and on page four of a file numbered "Page 1 of 3", after two pages of summary, rewards and terms. The columns are Post Date Trans Date Ref # Transaction Description Amount, posting date first, the opposite of most card statements. Credits read $109.41CR with the letters glued to the number, in a separate Payments and Other Credits section, and purchases read $60.41 unsigned in Purchases and Other Debits, with the amount extracted before the description. The interest charge is a row with a posting date only, 01/17 INTEREST CHARGE ON PURCHASES $35.19. The cycle runs from December 19 to January 17, so the rows carry two years with no year on any of them. A converter that takes the first date as the transaction date is a few days off on every purchase, and one that does not know CR books every payment as a purchase.
Compare the converted transaction count and totals with the statement, then confirm that the calculated final balance equals the printed closing balance.
Yes. If the PDF statement is readable, its age does not prevent conversion. Confirm the year when transaction rows omit it.
No. Convert posted transactions that contribute to the statement balance. Pending or future-dated items should not be mixed into that reconciliation.
Use the destination-specific settings below, then review the file before import. The destination may require particular columns, dates, account identifiers, or sign rules.
A bank PDF can contain searchable text, scanned page images, or a mixture of both. Searchable text still needs layout analysis because transaction descriptions wrap, columns move, and headers or balances repeat at page breaks. A scanned statement adds OCR uncertainty.
A transaction may begin at the bottom of one page and continue on the next. Continuation pages can omit column headings, repeat an opening balance, or insert footer text and legal pages between transaction pages. A conversion should join split rows and exclude repeated page furniture before it writes the output.
On scanned pages, OCR can turn 0 into O, 1 into l, or 5 into S. It can also lose a minus sign or decimal mark, read two columns in the wrong order, or struggle with skewed and faint pages. The running balance is the best check: a damaged amount or missing row breaks the balance sequence.
Yes. Review the OCR result and reconcile every balance movement. Scans with faint printing, rotation, or handwritten marks need more checking than searchable PDFs.
PDF text stores page positions rather than a spreadsheet table. Wrapped descriptions, repeated headers, and visually aligned columns can paste in the wrong order or into the wrong cells.
Try selecting a transaction description in a PDF reader. If individual words can be selected, the page probably contains text. If the whole page behaves like one picture, it requires OCR.
Quicken imports transactions in QFX, QIF and, on Mac, CSV Mint. Which one works depends on the platform and the version.
QFX and QIF differ in what they carry:
Settings that matter:
MM/DD/YYYY for US Quicken, DD/MM/YYYY for Canadian and UK versions.QIF when categories should come in with the transactions, or when Quicken is older than three years. QFX when the transactions should go into an account that already receives downloads and categories will be assigned by rules.
QFX for a normal import into an existing account. CSV Mint when moving from another app and the categories must come along. CSV Mint imports into a new account; transactions can be moved afterward.
Either the Quicken version is discontinued and no longer accepts QFX, or the financial institution ID in the file is not one Quicken recognizes. Switch to QIF in the first case and choose a listed institution in the second.
The account ID in the QFX file does not match the one Quicken stored for the existing account. Use the same account ID as the previous import.
The same period was imported twice with different transaction IDs, or as QIF, which has no IDs and no duplicate check. Import each period once. For QIF, delete the doubled rows in the register.
Yes, as QIF into an investment account. QFX also supports investment transactions but the converter must write buy, sell, dividend and other action types correctly, and Quicken must recognize the security.
